What is the procedure for requesting the purchase of new software? And does it cover renewals too?
Internal assistant
On the purchase request the procedure is clear: it goes into the purchasing portal and is approved by the head of the function. For software that processes personal data, a privacy and security assessment is also required .
On renewals, though, I do not have a sufficient source: the procedure available has not been updated since January and does not mention them explicitly . I would rather not infer a rule that is not written down.

Security and controls: where things stand.
This section reports only confirmed information about security, data processing and controls. The points still open are stated explicitly and will be updated after a documented check.
- Infrastructure and data
- The service runs on Microsoft Azure in EU regions. The data stays in the European Union.
- Compliance
- Personal data is processed in line with the GDPR. No further certification is claimed until it has been obtained.
- Models and providers
- Google (Gemini), Anthropic and OpenAI, selectable per assistant; frontier models can be enabled on request for specific features.
- Sources and answers
- The assistant answers only from approved sources. When they are not enough, it says so.
- Permissions
- Sources are assigned per assistant and per role: an assistant sees only what it is authorised to see.
- Traceability
- Every conversation keeps the sources consulted and the date they were last scanned.
- Retention and deletion
- Retention periods and deletion procedures are being defined: they will be published once documented.
